Converting U.S. Bank Statements to Excel

This page is about statements from U.S. Bank, the bank headquartered in Minneapolis, not American bank statements in general. If you have a statement from another bank in the United States, the Wells Fargo and PNC guides cover two other common layouts, and any bank works with the general bank statement converter.

U.S. Bank checking statements are built for reading. Rather than one running list, they usually group activity by type, with deposits in one place, card purchases in another and checks at the end. To get the account's activity in order in a spreadsheet, you would normally paste several tables, re-sort them by date and fix descriptions that wrap. Finlyzers does that for you.

How a U.S. Bank Statement Is Typically Laid Out

Exact headings vary by account type and have changed over time, but a U.S. Bank checking statement commonly includes:

  • Account summary: the beginning balance, totals for deposits and for withdrawals, and the ending balance for the period.
  • Deposit sections: often split into customer deposits made at a branch or ATM and other deposits such as payroll, transfers and incoming ACH payments.
  • Withdrawal sections: typically card withdrawals for debit card purchases, and other withdrawals for ACH payments, bill pay, transfers and fees.
  • Checks: a list of cleared checks with check number, date and amount, usually in numerical order.
  • Balance summary: end-of-day balances for the dates on which the balance changed.

Because most lines do not carry their own balance, the converter compares the extracted rows with the totals in the account summary and checks that the beginning balance plus deposits minus withdrawals equals the ending balance.

Personal and Business Accounts

U.S. Bank serves both consumers, for example with Smartly Checking and standard savings accounts, and small businesses through a range of business checking accounts. Business statements are where conversion saves the most time. A contractor or retailer may have dozens of customer deposits and a long run of checks each month, and copying those by hand into QuickBooks is slow and easy to get wrong.

For business accounts, keep the Reference column when you import. Matching a check number against an open bill is much quicker than matching by amount, especially when you pay the same vendor the same amount every month.

Statements From Before the Union Bank Conversion

U.S. Bank acquired MUFG Union Bank in late 2022, and Union Bank customers in California and other western states were moved onto U.S. Bank accounts afterwards. If you are catching up on books that span that change, statements from before the move will look different from current U.S. Bank statements. They can be converted the same way, but check the account number and period on each PDF so that both sets of history land in the right account in your accounting software.

When the Online Download Is Not Enough

U.S. Bank online banking usually lets you export recent activity for an open account. Converting the PDF is still the practical route when:

  • you need months or years older than the export window;
  • the account has been closed or converted;
  • a client, borrower or tenant sent you statements rather than a download;
  • you need figures that match the official statement for an audit, a tax return or a loan file.

What You Get

  • One date-ordered list built from every section of the statement.
  • Separate Debit and Credit columns with positive numbers.
  • Check numbers in the Reference column.
  • Multi-page statements processed together, with the totals checked against the summary.

Typical Uses

Reconciling business checking in QuickBooks or Xero, sorting expenses for Schedule C, separating rental income for Schedule E, and handing an accountant a clean year of transactions at tax time. Download QBO for QuickBooks, OFX or CSV from the same upload.

Converting a U.S. Bank credit card statement? Use the credit card converter, which keeps purchases and payments apart. For paper statements or scans, try the scanned statement converter.
