Checks and substitute checks keep their numbers in the Reference column for matching against your register.

Converting PNC Bank Statements to Excel

PNC statements group activity by what kind of transaction it is, not by when it happened. Deposits sit in one section, debit card purchases in another, online payments in a third and checks in a fourth. That makes it easy to see where the money went, but if you want the account's activity in date order in a spreadsheet, you would have to paste each section separately and sort it yourself. Finlyzers reads each section and gives you a single list.

How a PNC Statement Is Typically Laid Out

Headings vary between account types and have changed over the years, but a PNC checking statement commonly contains:

  • Balance summary: the beginning balance, total deposits and other additions, total checks and other deductions, and the ending balance.
  • Deposits and other additions: payroll, transfers in, mobile and branch deposits, refunds and interest.
  • Checks and substitute checks: cleared checks with check number, date and amount.
  • Debit card withdrawals and purchases: card transactions with the merchant name and often the city and state.
  • Online and electronic banking deductions: bill payments, ACH debits, Zelle payments and online transfers.
  • Other deductions: fees and any adjustments.
  • Daily balance detail: end-of-day balances for the period.

Because individual lines usually do not show a balance, the converter checks the extracted rows against the balance summary and confirms that the beginning balance plus additions minus deductions equals the ending balance.

Virtual Wallet: Spend, Reserve and Growth

Many PNC customers use Virtual Wallet, which pairs a Spend checking account with a Reserve account for short-term money and a Growth account for savings. These accounts are often presented together, so a single statement can contain several sets of activity.

That matters when you move the data somewhere else. A transfer from Spend to Reserve is a debit on one account and a credit on the other. For a household budget, you probably only want the Spend activity. For bookkeeping, where every account is tracked, those movements should be recorded as transfers between accounts so they are not counted as spending or income. Reconcile each account against its own opening and closing balance before you import it.

Older BBVA USA Statements

PNC acquired BBVA USA in 2021 and moved its customers onto PNC accounts later that year. If you are catching up on several years of records for an account that started at BBVA, the older statements will use BBVA's layout and account numbers. They can be converted in the same way; just check the account number and period on each file so that both sets of history end up in the right place.

When You Still Need the PDF

PNC Online Banking usually lets you export recent activity for an open account, which is fine for the last few months. Converting the PDF is the better option when:

  • you need history beyond the export window, such as a full prior tax year;
  • the account is closed;
  • a client or applicant sent you statements as PDFs;
  • you need the figures to tie back exactly to the official monthly statement for an audit or loan file.

What You Get

  • One date-ordered list from every deposit and deduction section.
  • Separate Debit and Credit columns with positive amounts.
  • Check numbers in the Reference column.
  • Wrapped descriptions joined into a single cell.
  • Multi-page statements processed in one upload.

Typical Uses

Personal budgeting in Excel or Quicken, preparing a year of transactions for a tax return, reconciling small business checking in QuickBooks, and supplying statement history to a lender. Download QIF for Quicken, QBO for QuickBooks or CSV from the same upload. For other banks with similar sectioned statements, see the U.S. Bank and TD Bank guides.

Converting a PNC credit card statement? Use the credit card converter, which keeps purchases and payments apart. For paper statements or scans, try the scanned statement converter.

PNC Bank Statement to Excel Converter FAQ

Common questions about converting PNC Bank Statements.

Where do I find my PNC statements?

Sign in to PNC Online Banking or the PNC Mobile app, choose the account and open its statements area. Pick the period and download the PDF. Menu names can differ between personal and business banking.

My Virtual Wallet statement includes Spend, Reserve and Growth. What should I do with the transfers?

Transfers between your own Virtual Wallet accounts appear on both sides. If you import more than one of these accounts into your books, record those movements as transfers between accounts rather than as income or expenses.

Does it work with PNC business checking statements?

Yes. Business statements that list deposits, checks and electronic deductions in separate sections are combined into one date-ordered list, and multi-page statements are processed in one upload.

Can I convert old BBVA USA statements?

Yes. Statements issued by BBVA USA before its accounts moved to PNC use a different layout, but they are ordinary bank statement PDFs and can be uploaded the same way.

Can I import a PNC statement into QuickBooks or Quicken?

Download QBO for QuickBooks Online or Desktop. For Quicken and other personal finance programs, a QIF file is available from the same upload. Recent Quicken for Windows versions restrict QIF imports into bank accounts, so check your version's import options first.
